With the advent of computers and printers people realized the need for a device to digitally take the back up of all their data. That's how we got the scanner. A scanner is a device that can be used to scan almost anything be it pictures or documents. Written files or important papers always carry the risk of getting lost or getting deteriorated with time but once you scan them you can preserve them forever and use them whenever you like.

Although, the basic steps for scanning a document or picture are same but there are some differences. Well here are some steps you need to follow if you are wondering how to scan documents:

• This is probably the most important step. Turn on your scanner and make sure all the cables are connected properly. There are usually two cables coming out of your scanner. One of them would be the power cable and the other one would be the data cable connected to the computer.

• After making sure that the scanner is working properly it's time to make sure that the computer is turned on and working fine. Check whether the scanner has been detected by the computer or not. In case you find that the scanner has not been detected try to reconnect the scanner again or troubleshot the scanner by reinstalling the software.

• After you have made all the connections it's time to scan your documents. There are two ways in which you can scan the documents. Either you can open the scanner software in your computer and then select the scanning option or you can just press the scan button on the scanner which will automatically start the scanning process.

• Now open the document lid of the scanner and make sure that the glass surface and the backside of the document lid are free from dust and fingerprints. In case you find some dust take a clean cloth and wipe off the surface properly.

• Now place the document on the surface with its face down. Properly align the document so that it does not lose alignment. Now carefully and slowly close the document lid.

• Now select a scan resolution. The higher the resolution the clearer the image and the more space it will take.

• Now press the scan button. Check the preview of the document. If you are satisfied with everything accept the scan and save it on your computer. Follow these easy steps to learn how to scan documents.
